Team Service Requirements

Team Work Requirements (Service Positions) and Sign-Ups 

All service positions will be posted in SwimTopia, and sign-ups will open at the start of the season for all meets. Families must log into SwimTopia to select their shifts.

Each family is required to work a minimum of 5 meet halves during the season (equal to 5 service points).

There is a $50.00 penalty fee for each unfulfilled slot, up to a maximum of $250.00 if none of the required slots are completed.


✔ Worker Check-In

All workers must report to the Worker Check-In Table before the start of the meet. This is located near the concessions at home meets and varies at away meets (communication will be sent regarding where to check in at away meets, prior to the meet)

At check-in you will receive a lanyard that corresponds with your position. This helps ensure workers are easily identified during the meet. Lanyards will be collected later in the meet

Please note:

BOTH 1st half and 2nd half workers check in PRIOR TO THE MEET STARTING.

  • Workers must check in  to receive credit.
  • If you sign up for a position but do not check in or do not report to your assigned role, you will not receive service points.

⚠ Service Points Policy

Service points are closely tracked throughout the season.

Families who are not meeting their service requirements will be randomly assigned to open service positions during meets to ensure all roles are filled.

We appreciate everyone’s help in making our swim meets run smoothly for all swimmers and families.

Available Service Positions

🦈🙋 It Takes a Village to Run a Swim Meet!

Our swim meets run smoothly thanks to the amazing help from our Hammerhead families. Every worker role plays an important part in making the meet fun, fair, and efficient for all swimmers. Please note that some positions require early arrival for set up/prep time. 

Below is a quick guide to what each role does and when to report.


Timers
Timers are responsible for recording swimmers’ race times using the official timing system or stopwatch. There will be two timers per lane.

Responsibilities:

  • Time swimmers in your assigned lane
  • Record times accurately
  • Stay focused during each race

All timers report to the Head Timer before the meet begins for a brief Timer meeting. Listen for the announcement.

When to report:

  • 1st Half: At timer meeting 
  • 2nd Half: After backstroke

🕒 Head Timer (Home Meets Only)
The Head Timer keeps the official stopwatch for the meet.

Responsibilities:

  • Maintain the official timing watch
  • Carry an extra stopwatch in case a lane timer has a malfunction
  • Assist timers if timing equipment fails

There is one Head Timer per half of the meet.

When to report:

  • 1st Half: At timer meeting 

🐟 Mite Parents (8 & Under)
Mite Parents help our youngest swimmers stay organized and get to their races.

Responsibilities:

  • Gather swimmers ages 8 & under
  • Escort them through Clerk of Course
  • Help them get to the correct event and relays

When to report:

  • During warmups, report to the Clerk of Course area to collect your heat sheet

Tip: Bring a few Sharpies to help label swimmers.


📋 Clerk of Course
The Clerk of Course organizes swimmers before each race. A heat sheet is provided.

Responsibilities:

  • Line swimmers up by event, heat, and lane
  • Keep races flowing smoothly

When to report:

  • 1st Half: 15 minutes prior to meet start
  • 2nd Half: Listen for announcement

🧾 Table Workers (Scoring Table)

Responsibilities:

  • Receive times and post event results
  • Reconcile DQ cards
  • Record official results
  • Prepare ribbons

When to report:

  • 1st Half: After Event #1
  • 2nd Half: Listen for announcement

🏃 DQ & Timer Runners

Responsibilities:

  • Collect DQ cards from Strokes & Turns judges
  • Collect time sheets from lane timers
  • Deliver materials to the scoring table

When to report:

  • 1st Half: At meet start (check with Referee/Head Timer)
  • 2nd Half: Listen for announcement

🍿 Concessions

Responsibilities:

  • Work the snack and drink stand
  • Serve food and drinks
  • Keep the area organized

When to report:

  • 1st Half: 5:30 PM
  • 2nd Half: Listen for announcement

💧 Hospitality

Responsibilities:

  • Deliver water and drinks to workers around the pool

When to report:

  • 1st Half: At meet start (report to Concessions)
  • 2nd Half: Listen for announcement

🦆 Heat Duckies (Fan Favorite!)

Responsibilities:

  • Watch each race heat
  • Award a Heat Winner Duckie

When to report:

  • 1st Half: Before meet (check in with Head Timer)
  • 2nd Half: Listen for announcement

🔄 Floater

Responsibilities:

  • Fill open positions as needed

When to report:

  • 1st Half & 2nd Half: Check in before meet at worker table

Meet Set-Up 

Help us get everything ready before the meet begins - many hands make light work!

Responsibilities:

  • Set up tables and chairs
  • Help arrange timing equipment and lane setup
  • Assist with Clerk of Course and scoring table setup
  • General prep to get the pool deck meet-ready

When to report:

  • Arrive 30-45 minutes before warmups begin 

Great role if you want to help early and be done before the meet starts!


🧹 Meet Break-Down 

Help us wrap things up quickly after the meet ends.

Responsibilities:

  • Take down tents, tables, and chairs
  • Help pack up timing equipment and supplies
  • Clean up pool deck and team areas
  • Ensure everything is returned to storage

When to report:

  • Immediately after the meet ends

Perfect if you prefer helping at the end instead of during the meet!


🏅 Trained Service Positions
These roles require additional training or experience.

🏊 Strokes & Turns Judges

Responsibilities:

  • Observe swimmers for rule compliance
  • Write DQ cards if needed
  • Confirm calls with Meet Referee

When to report:

  • 1st Half: Strokes and Turns meeting prior to meet start
  • 2nd Half: Listen for announcement

🔊 Starter

Responsibilities:

  • Announce events and start races
  • Monitor for false starts

When to report:

  • 1st Half: 15 minutes prior to meet start
  • 2nd Half: Listen for announcement

💻 Computer Worker

Responsibilities:

  • Run Meet Maestro software
  • Verify times and generate results

When to report:

  • 1st Half: 15 minutes prior to meet start
  • 2nd Half: Listen for announcement
